Project Integration Facilitator

General Purpose of the Position

Responsible for the quality and efficiency of the information and processes that involve the following applications: Practice CS, ProStaff Staffing Tool, APT and Caseware, among others that may be assigned.  Run and customize reports from these applications.  Provide training and support.  

Principal Responsibilities

  1. Support the implementation of new and existing technological platforms in order to improve the departments and Firm operations.  
  2. Coordinate staff plan for the Assurance Services Division, including:
    1. Assess project assignments of resources based on the client’s needs. 
    2. Coordinate short/long term staff assignments to provide timely resource support and comply with deadlines. 
    3. Evaluate staff competencies to match with the engagement requirements. –  new.
  3. Manage and monitor business applications:
    1. Practice CS
      1. New Client Form Template and Engagements/Projects Matrix per department.
      2. Run reports such as:
        1. Weekly Project Monitor Report per Department to monitor completeness and accuracy of new client/engagements/projects created.
        2. Monthly ADP and Practice CS administrative time identified as personal, holiday, vacation, and sick for HR to make sure that information uploaded to both systems agree.  – Carmen lo esta haciendo.
      3. Provide technical support and training to end users.
    2. ProStaff 
      1. Provide technical support and training to end users.
      2. Set-up new hires, including adding information not transferred from Practice CS (e.g. emails).
      3. Send e-mail to new hires with instructions for initial setup and access.
      4. Assist with revenue and hours projections for annual budget. 
      5. Prepare reporting related to professional performance, such as:
        1. Individual metric dashboards for all managers and partners
        2. Monthly utilization of metrics to ensure budget alignment.
    3. ADP Workforce Now
      1. Assist the HR Department with the implementation of new modules.
      2. Assist the HR Department with the update of existing modules.
      3. Provide technical support and training to end users.
  4. Prepare customized reports from business applications as requested.
  5. Assist with the Risk Management and Client Acceptance Process:
    1. Conflict and Background Check, and
    2. Referral reports.
  6. Prepare flowchart and internal procedures documentation (e.g. Standard Operating Procedures).
  7. Act as back-up for receptionist.
  8. Other duties as assigned.

Education, Training and/or Experience Required

To perform this position a bachelor’s degree (B.A.) from a four-year college or university is required; or two to three years related experience and/or training; or equivalent combination of education and experience will be needed.

Solid understanding of software lifecycles, including analysis, design, development, QA, functional testing, rollout, support and project management roles and best practices.  

Language, Skills and Knowledge

Knows and applies project management techniques and administrative procedures.  Possesses basic knowledge of applicable Information Technology solutions. Knows and follows firms’ policies and regulations. 

Must project a mature, well-balanced personality. Ability to write and speak fluently in both Spanish and English.  The person needs to be able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.   

Ability to work with several projects at a time and have attention to detail.

Must be a person of high ethical standards and confidentiality at all times. Impeccable manners, punctuality, reliability, attention to detail and empathy are critical success factors. Computer literacy and proficiency in Microsoft applications (i.e. Word, Excel, PowerPoint, Outlook, etc) is needed.

PC/laptop, telephone, calculator, photocopier, scanner, facsimile, e-mail.

Physical Demands

The position requires normal physical effort when standing, walking, sitting and/or using office equipment. 

Work Environment

This position usually performs in an office environment under normal conditions with moderate noises.
